Client Site Network Documentation Template
v3.2
Purpose. Use this template to document a client site's network, servers, cloud services and support arrangements so that any engineer can support it.
1.How to use this template
Complete a site document for every client location during onboarding and update it after every change. Store the document in the client's folder in the documentation platform, never in a ticket or email. Credentials go in the password vault and the document references the vault entry only.
2.Site overview
Record the site address at suburb level, the authorised requesters, site access arrangements, hours, the internet service and the location of the communications room and server equipment.
3.Network
Document the internet connection, firewall model and rules summary, switches, wireless access points, network address ranges, virtual local area networks and the cabling layout with patch panel labelling. Include a network diagram.
- Internet service and static addresses
- Firewall and rule summary
- Switch and access point inventory
- Address ranges and virtual networks
- Patch panel and cabling map
4.Servers and cloud
List each server and virtual machine with role, operating system, patch group and backup job. List cloud tenants, licences, identity platform settings and multi-factor authentication policy.
5.Support and recovery
Record the monitoring agents deployed, the backup schedule and last tested restore, the disaster recovery priority of each system and the escalation contacts at the client.
6.Review
The document must be reviewed at least every twelve months and the review date recorded in the header.
